How do we choose our service providers for you?

  • We carefully select and source third party suppliers that are required to receive your Personal Data in order to deliver the travel services offered to you.
  • Our terms of contract state our suppliers must comply from an Information Security and GDPR perspective given their function as Data Processors.
  • We ensure that Ambassador Travel’s vendors are reputable suppliers, in particular:
    • Without a known history of data protection breaches
    • With credible data protection policies/practices to ensure the integrity and safety of the data
    • With a policy of using the data only for the delivery of the contractually agreed Service.

What information do we collect about you?

When you make a booking with Ambassador Travel, we will capture personal information about the lead passenger – name, address, telephone number and email address.  In addition we will collect the name and date of birth of all travelling passengers and sometimes passport details so we can complete Advanced Passenger Information (API) on certain travel routes.

In some cases we may also need to collect more sensitive data such as medical information and details of any special requirements, or dietary information to ensure your booking is delivered to meet your needs.

We collect your payment information, including credit/debit card details to gain payment for services.  These details will be passed through our fraud protection checks.

How will we use the information about you?

We process your personal data for our legitimate interests as a business but only if necessary for the purpose we collected it for.  We use your personal information to:

  • supply you with the services you have purchased
  • send statements, invoices and collect payments from you
  • communicate with you about your booking
  • send you marketing communications (where you have given us permission to do so)
  • request feedback about your booking and experience with us
  • respond to enquiries and complaints made by you
  • improve your browsing experience by personalising the website and communications
  • send relevant communications by using segmentation and targeting
  • enable your use of the services available on the website
  • show you ads based on your interests
  • conduct analysis to understand how our services are used
  • keep the website secure and prevent fraud

Our representatives may also use your personal details to follow up, either by email, phone or mail, to people who have registered their details with us or did not complete their booking.

What are your rights as to your personal data?

As entitled by the GDPR, as our clients, you have the right to request and receive a copy of your Personal Data in a user-friendly format.

You are also entitled to request the erasure of your personal data, exercising your “Right to be Forgotten”. It must be noted, however, that when travel is booked through an organisation (e.g. a University) with which  Ambassador Travel has a contract, all such requests can be actioned only when approved by the client organisation which acts as the Data Controller.

Note that Ambassador Travel has the option to refuse such requests if they impact its ability to provide the contracted services to the organisation which the traveller belongs to or if there is a legal requirement to maintain the data. In the event that either of these scenarios is enacted, Ambassador Travel will work with the Data Controller towards resolution.

At any given point in time, you have the right to withdraw your consent for us to use your Personal Data when providing our services to you. As before, when travel is booked through an organisation (e.g. a University) with which  Key Travel has a contract, all such requests can be actioned only when approved by the client organisation which acts as the Data Controller.

Changes to this policy

The Ambassador Travel Privacy Policy is a live policy and adjusts to the changes in the ever-evolving frameworks governing privacy concerns. As such, our Privacy Policy will change from time to time. Client rights will not be affected without the client’s explicit consent. All Privacy Policy changes will be communicated to our clients using email communications. Our users have the right to request a copy of a previous version of our Privacy Policy.
